Admin accounts are not daily accounts
In most small businesses the owner's account is also the administrator account, and that account reads email all day. It is one convincing message away from being the keys to everything.
Separating the two is free, takes an afternoon, and limits the blast radius of a bad click to a single mailbox instead of the whole tenant.
Do this today
- Create a separate administrator account that does not receive email and is not used for browsing. Use it only to make changes.
- Demote your daily account to a normal user. You will be surprised how rarely you miss the privileges.
- Put a strong second factor on the admin account — a hardware key if you can — and store the credentials in the password manager, not in a note.
What good looks like
You can name every account in the business that holds administrator rights, and the list is short and current.
No administrator account is anyone's day-to-day login, and none of them receive external email.
